Terms of Service

These Terms of Service (“Terms”) govern your access to and use of ExpiryFlow, operated by ExpiryFlow (“we”, “us”, “our”). By creating an account or using the service, you agree to these Terms.
1. The Service
ExpiryFlow is a document expiry tracking tool for UK contractors and construction businesses. It allows you to track subcontractor compliance documents, receive automated email reminders, and export compliance reports.
2. Eligibility
You must be at least 18 years old and have authority to enter into contracts on behalf of any business you represent. By using ExpiryFlow you confirm both.
3. Your Account
You are responsible for maintaining the security of your account credentials and for all activity under your account. Notify us immediately at hello@expiryflow.co.uk if you suspect unauthorised access.
4. Free Trial
New accounts receive a 14-day free trial. No credit card is required to start. At the end of the trial you will be prompted to upgrade to a paid plan to continue using the service. Your data is retained during and after the trial period.
5. Paid Plans and Billing
Paid plans are billed monthly or annually as selected at checkout. All prices are in GBP and exclude VAT where applicable. Payments are processed securely via Stripe. You may cancel at any time — cancellation takes effect at the end of the current billing period.
6. Acceptable Use
You agree not to:
- Use the service for any unlawful purpose
- Upload malicious files or attempt to compromise the service
- Share your account credentials with third parties
- Attempt to access data belonging to other companies
- Reverse engineer or copy any part of the service
7. Your Data
You retain ownership of all data you upload to ExpiryFlow. We process your data only to provide the service. See our Privacy Policy for full details on how we handle your data.
You can export your data at any time using the CSV export feature. On account cancellation, we will retain your data for 30 days to allow export, after which it will be permanently deleted.
8. Email Reminders
By using the reminder feature, you authorise ExpiryFlow to send automated emails to the addresses you configure, including your own and optionally your subcontractors'. You are responsible for ensuring you have appropriate consent to send reminders to subcontractor email addresses.
9. Service Availability
We aim for high availability but do not guarantee uninterrupted access. We may perform maintenance, release updates, or temporarily suspend the service. We will endeavour to give reasonable notice of planned downtime.
10. Limitation of Liability
ExpiryFlow is a compliance tracking tool — it is your responsibility to verify document validity and act on reminders. We are not liable for any loss arising from missed expiry dates, failed reminders, or reliance on data held in the service. To the maximum extent permitted by law, our liability is limited to the amount paid by you in the 12 months preceding any claim.
11. Changes to These Terms
We may update these Terms from time to time. We will notify you by email or in-app notice at least 14 days before material changes take effect. Continued use of the service after that date constitutes acceptance of the updated Terms.
12. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
